IIStaff scheduling

Nova.

Staff scheduling

The rota that
swaps itself.

Nova builds shifts without double-bookings and lets the team handle swaps — mobile, in real time.

The problem

The rota falls apart in WhatsApp and Excel.

The plan lives in Excel, the changes in the group chat. Constant swap messages, someone steps in, someone drops out — and in the end no one reliably knows who's working when.

Double-bookings only surface when two people show up at once, or no one does. Every change runs through management — you're the switchboard for every single swap.

Nova turns that around: the plan lives in one place, conflicts are caught the moment they happen, and the team swaps on its own — cleanly safeguarded, without you forwarding every message.

Generic scheduling tools manage shifts. Nova gives swapping back to the team — built by someone who has planned teams under pressure.

What changes

Four things you feel from day one.

Plan in minutes

Save recurring weeks as a template and roll them out in one step with the bulk generator — instead of setting each shift by hand.

No double-bookings

Atomic conflict detection checks every assignment the moment it's made. Two shifts at the same time simply can't be saved.

Swaps without you in the middle

Staff hand off shifts and pick them up among themselves. You only approve — instead of negotiating every request yourself.

The team actually checks in

A personal calendar, push notifications and the option to apply for open shifts — the plan lands where the team already looks.

The shift market

Swaps without you in the middle.

Staff post open shifts or request direct swaps among themselves. Every handover runs cleanly through admin approval — and writes atomically into the plan, so a double-booking can never occur. You keep control without forwarding every message yourself.

    Shift-market features

  • Open listings — offer shifts to take over
  • Direct swap requests between staff
  • Admin approval for every handover
  • Activity log across all changes
  • Personal iCal feed (Apple / Google / Outlook)
  • Web push on offers & approvals

What's possible

The whole rota in one system.

01

Weekly & multi-week calendar

The entire plan at a glance — by week or across several weeks, with roles, locations and open shifts clearly visible.

02

Templates & bulk generator

Save typical weeks as a template and roll them out across a whole period in one step.

03

Applications with admin approval

Staff apply for open shifts; management approves — nothing becomes binding without confirmation.

04

Atomic conflict detection

Overlaps are detected and prevented at the moment of assignment — no double-staffed shifts.

05

Shift market (open + direct)

Open offers and direct swaps between staff, every handover secured by admin approval.

06

Attendance overview

Planned hours by employee, role and location — a planning view, not a time clock.

07

PWA with offline mode

Runs as an app on the phone, works offline too and notifies via web push on changes.

08

Personal iCal feed

Everyone subscribes to their shifts straight in their own calendar — Apple, Google or Outlook.

09

Manage team & roles

Staff, roles (management/team) and contact details in one place — each person with their own access, cleanly separated.

10

PIN access

Server-checked PIN login per person, with lockout against guessing (brute-force protection). No shared password, every action carries a name.

Who it's for

Bars

Changing nights and casual staff cleanly in the plan instead of the group chat.

Restaurants

Service and kitchen on one plan, swaps without detours through management.

Small hospitality groups

Several locations and roles under one management, planned in one place.

Operations with changing staff

Casuals, fill-ins and seasonal — the plan stays reliable, whoever steps in.

Several locations and roles under one management — Nova keeps the overview, even when the team is spread across houses and shifts.

Part of Triarc

Nova is one of four Triarc instruments. They share a design language and are built to interlock — capture data once, use it many times. Step by step, the instruments connect into one continuous operating layer:

Aurora → NovaHours worked and tips from Aurora flow back into planning and analysis in Nova.Planned
Zenith → NovaCompleted tasks in Zenith evidence attendance and support scheduling in Nova.Planned
Aurora · Zenith · CeresShared design language and one login idea across all four instruments.Architecture

Why Nova

Nova comes from a chef who has led 45 staff across 10 outlets and crewed WEF catering for up to 5,000 people — he knows how scheduling tears under pressure.

Mobile first

Built as a PWA — the plan lives on the phone, not in an office binder.

Built by an operator

By someone who has run rotas under pressure.

Real-time, no double-bookings

Conflicts are caught the moment they happen — the plan stays reliable.

The team joins in

Own calendar, applying for shifts, swapping in the shift market.
